Understanding Variables in Messages and How They Work

Personalization is key to enhancing the guest experience. With Alertify’s automated messaging features, you can use variables to dynamically insert guest and booking information into your messages, agreements, and notifications. These variables allow you to create customized messages without the need for manual input, ensuring efficiency and accuracy.

What Are Variables?

Variables act as placeholders within your messages that automatically populate with relevant data from your property management system (PMS), provided that your Alertify dashboard is connected to a PMS. When a message is sent or displayed to a guest, the variables are replaced with actual booking details.

Available Variables

Below are the variables you can use in messages and agreements:

  • {Guest_First_Name} – Inserts the guest’s first name.

  • {Guest_Portal_Link} – Provides a link to the WelcomeLink guest portal.

  • {City} – Displays the city where the property is located.

  • {Check_In_Date} – Inserts the guest’s check-in date.

  • {Check_Out_Date} – Inserts the guest’s check-out date.

  • {Check_In_Time} – Displays the check-in time.

  • {Check_Out_Time} – Displays the check-out time.

  • {Company_Name} – Inserts your company’s name.

Where Can You Use These Variables?

You can incorporate these variables into different parts of the Alertify dashboard, including:

  • Guest Alerts – Noise and smoke alerts sent to guests.

  • WelcomeLink Welcome Messages – Personalized greetings for guests that include a link to the screening portal.

  • WelcomeLink Guest Agreement – Displaying key information for different units and guests in a digital guest agreement.

  • WelcomeLink Thank You Page – Personalized thank-you messages after the guest checks out.

How It Works

Using these variables is simple. Just copy and paste the exact variable into your message, email, agreement, or notification. When the message is sent, the system automatically fills in the details from the PMS, ensuring that each guest receives personalized and accurate information.

For example:

Before Sending:
Hello {Guest_First_Name}, your check-in date is {Check_In_Date} at {Check_In_Time}. Please use the following link to access your guest portal: {Guest_Portal_Link}.

Guest Receives:
Hello John, your check-in date is June 15, 2025, at 3:00 PM. Please use the following link to access your guest portal: https://screening.alertify.com.
