This article will guide you through the basics of Incident Reports—what they are, how they’re generated, how to add guest details manually or automatically through your PMS, and how to download a report when needed. Let’s get started!
An incident report is automatically generated when a guest exceeds your defined thresholds for noise, smoke, occupancy, or temperature. These reports serve as documented proof of the event and can be used to support disputes or claims.

Examples of Smoke and Noise Incident Reports
Before an incident can be captured, your monitoring settings must be configured. To do this, navigate to the Units tab, select your desired unit, and open the Monitoring Settings section. From there, you can adjust your thresholds for:
Noise
Temperature
Occupancy
Let’s say you want to configure noise monitoring. You can:
Set the maximum decibel threshold.
Define how long the threshold must be exceeded before a violation is triggered.
Set up additional notifications if the issue continues.
Add Custom Time Rules to disable or modify monitoring sensitivity during certain periods (e.g., housekeeping hours).
Once a threshold is crossed for the defined duration, Alertify will generate a real-time alert—and a corresponding incident report.

From the Home page, you’ll see an overview of recent violations. You can filter these by type (e.g., noise, smoke) and date range. You can also view a summary of total violations over a selected period.
To download a specific report:
Click the dropdown next to the violation entry you’re interested in.
Select Download Incident Report to export a printable PDF—perfect for documentation and dispute resolution.
Filtering Notifications by Type and Date
Click on the Notification Dropdown and “Download Incident Report” Button to Download File
If your Alertify device is integrated with a Property Management System (PMS), guest details will automatically populate in the incident report. If your PMS is not yet connected, you can manually add the guest’s information:
Click Add Occupant Details on the violation entry.
Fill in the relevant guest information.
This ensures your reports are complete and ready to use if needed for claims or compliance.

Need a broader view? You can also export a CSV file that lists all violations by:
Date
Time
Building
Unit
Type of violation
This is helpful for monthly reporting, compliance audits, or identifying trends over time.
